The Challenge
Konstructo operates national field service teams across construction and facilities sites in multiple provinces. They were using a patchwork of spreadsheets, legacy software and paper processes for job intake, scheduling, materials, timesheets, invoicing and compliance. Double-booking, unbilled work, weak management visibility and heavy admin made scaling painful.
Our Solution
African Vanilla implemented and heavily customised Odoo 18 Community as Konstructo’s field-service ERP — not a greenfield rewrite from scratch. We mapped real site workflows, then extended helpdesk and field service with inbound work-order parsing (email and PDF), automatic job creation, technician assignment, work timers, materials, SLA-aware ETAs, HQ billing queues linked to sales orders and invoices, proof-of-delivery completion packs, branded PDFs, ops dashboards, and role separation for HQ versus regional leads. WhatsApp-style operational notifications keep dispatch in the loop. The stack is hosted and supported under our managed partnership with ongoing module development as contracts evolve.
Konstructo delivers specialised construction and field services on sites from Johannesburg to Durban, Cape Town and beyond. Managing technicians, vehicles, materials and jobs across provinces needs a system as mobile as the teams on the ground.
The old way was unsustainable. Every new contract added complexity. Revenue leaked through missed variations and late billing. Management steered with incomplete data.
We mapped real workflows with leadership and site teams, then delivered Odoo 18 Community around those processes. Standard field-service and helpdesk foundations carry the core; custom modules handle what makes Konstructo different: client work-order intake from email and PDF, job instructions that match how branches and facilities teams brief work, billing references that survive from ticket to invoice, and completion evidence packs finance can trust.
Since go-live, the business has scaled without the usual admin spike. Technicians get clear “my jobs” views and timers; finance gets cleaner documents; leadership finally sees active work nationally.
This project shows how we deliver ERP implementation: configure Odoo first, customise only where the process earns it, and stay for support. When Odoo is the wrong tool entirely, we say so and build purpose-built software instead — see ODOO vs custom development.
The platform continues to evolve with Konstructo’s contracts, backed by a team that already knows their operations.
"This ERP has been a game changer for our operations. We finally have one source of truth for jobs, people, materials and money across the country. African Vanilla didn't just implement software — they took the time to understand how we actually work on sites and built something that fits perfectly. The ongoing support is excellent."
