Off-site backup is a second copy that survives the office, plus a restore someone has actually run. African Vanilla sells that as backup as a service at the rates already on the services calculator. If a design is not one of those lines, the price is contact us for a quote.
What are the published backup prices?
These are monthly, and they match the calculator wording:
- Microsoft 365 backup: R65 per user per month. Managed Exchange, OneDrive, SharePoint and Teams backup.
- Endpoint backup: R90 per device per month. Workstation backup for PCs that hold work you cannot recreate.
- Server backup: R850 per server per month. Managed server backup with monitoring and recovery checks.
- Disaster recovery as a service: R90 per user per month. Recovery planning and DR capacity for critical users.
Licensing for the tenant itself is separate: Microsoft 365 Business Premium is R400 per user per month.
Why does the copy have to leave the building?
A disk in the same rack is not an off-site backup. Fire, theft or a long power cut takes it with the server.
The questions we already publish in POPIA and backups for Johannesburg SMEs are the brief:
- What personal information is in the backup (customers, staff, invoices, email)?
- Where is the second copy (another building or another tenant)?
- When was a restore last tested, and who else can run it?
- Would losing the office take the only copy with it?
POPIA expects reasonable technical safeguards. The Act does not name a backup brand. An untested job is still a gap, which is why it sits on our POPIA checklist. This is not legal advice.

What happened when backups were already stale?
AJM Engineering had usable backups that stopped in 2023. The recovery was a weekend of Active Directory, SQL Server and a neglected RAID array, then a return to backups on a managed cadence. We cite that case so you can see the shape of the failure. We do not turn it into a percentage for every Gauteng business.
HDPE Plumbing & Trading includes backups inside the managed IT takeover. That sentence is as far as the published case goes. It is not a claim about a specific off-site product going live.
How do you start?
- List the systems that would hurt on Monday if they vanished: mail, files, accounting, the server in the corner.
- Match them to the lines above, or ask for a quote if they do not match.
- Agree a restore test and write down the date.
- If you also want someone on the helpdesk, add managed IT rather than treating backup as the whole relationship.

- Is Microsoft 365 already backed up by Microsoft?

- How does this relate to POPIA?
- POPIA expects reasonable safeguards for personal information. A backup that has never been restored is not that safeguard.
